CRM & sales tracking
The pipeline, the open deals and what was said to each client, visible to the whole team.
The challenge
A client's history is kept in one person's notebook or inbox: when they leave, it leaves with them. The sales forecast is a gut feeling reviewed at month end, and nobody knows which client has gone months without a call. Deals are rarely lost on price, they are lost because they were forgotten.
The solution
We build the pipeline around the actual stages of your sales process, not the ones in a manual. Each client's history is shared and written by whoever spoke to them, with the tasks and reminders for what is due today. We connect it to invoicing so the closing forecast can be checked against what actually gets paid.
It's for your company if…
- Contacts and quotes are spread across each salesperson's phone and inbox, and everyone organises them their own way.
- If a client calls and their salesperson is out, nobody knows where the deal stands or what was promised.
- Quotes are made by copying the previous one, and nowhere is it recorded which ones were won and why.
- Management asks for the sales forecast and every salesperson sends it in a different format that someone has to merge by hand.
What's included
A pipeline with your real stages
We map the journey of a deal with your team: how many stages really exist, what moves a quote forward and when it is declared lost.
A shared client record
Every call, visit and email is logged on the record, with who spoke and what was agreed. The record belongs to the company, not to whoever manages the account.
Closing forecast
Every deal carries an amount, a probability and an expected date: the month's forecast comes from the sum and can be reviewed deal by deal, with no side spreadsheets.
The day's sales agenda
Each salesperson starts the day with the calls and visits due, and the system points out the clients that have gone too long without contact.
Linked to invoicing
When a quote is won it turns into an order and an invoice without re-entering the data: same client, same lines, same amount, and no copying errors.
How we do it
Session with the sales team
We capture how selling works today: where contacts come from, how follow-up happens and at which point deals get lost.
Designing the pipeline and the record
We agree on the stages, the mandatory fields and the loss reasons. Only information that will actually be looked up later gets asked for.
Loading the portfolio
We import clients and open deals from the current files and inboxes, reviewed and deduplicated, each one assigned to its salesperson.
Support through the start
In the first weeks we track usage with the team, adjust fields and reminders, and check that the pipeline reflects the real state of the portfolio.
Key benefits
The sales history stays with the company
A realistic closing forecast
Systematic follow-up of every deal
FAQ
How do we keep the team from seeing it as a surveillance tool?
By making it save the team work from day one: the agenda ready, the history accessible and quotes entered only once. Few fields are required and each one serves a purpose; information that gives the salesperson nothing is left out.
Can we bring in the contacts we keep in spreadsheets and inboxes?
Yes, the initial load is part of the project. Before loading anything we agree which fields survive, how contacts duplicated across salespeople are resolved and what happens with inactive accounts.
How long until it is up and running?
Less than an ERP implementation, because the scope is smaller. The actual schedule comes out of the free assessment, which ends with a closed proposal covering scope, dates and price.
Do we need the ERP before the CRM?
No. The CRM can run on its own and be connected to the management system later. If you already have one, we connect it from day one so the same sale never has to be entered twice.
